Payment Policy for Hosted Buyers, Exhibitors, Trade Buyers, and Sponsors in Himalayan Tourism Mart
The following Payment Policy governs the payment terms, cancellations, and refund procedures for Hosted Buyers, Exhibitors, Trade Buyers, and Sponsors participating in the Himalayan Tourism Mart organized by Himalayan Hospitality and Tourism Development Network (HHTDN). Please read this policy carefully as it outlines the payment obligations and procedures for the aforementioned participants.1. Payment Terms: a) Hosted Buyers: Hosted Buyers are expected to adhere to the payment terms specified in their agreement with HHTDN. The payment terms may include a deposit, installment payments, or full payment prior to the event. Failure to meet the payment deadlines may result in the cancellation of hosted buyer privileges.
b) Exhibitors, Trade Buyers, and Sponsors: Exhibitors, Trade Buyers, and Sponsors are required to make the full payment or adhere to the payment terms specified in the invoice or agreement provided by HHTDN. Payment deadlines and methods will be clearly communicated. Failure to make the payment within the stipulated time may result in the cancellation of participation or sponsorship benefits.
2. Payment Methods: HHTDN accepts payment via bank transfer, credit card, or any other method specified in the invoice or communication. Payment instructions will be provided by HHTDN, and participants are responsible for any associated transaction fees or charges.
3. Cancellations and Refunds: a) Hosted Buyers: Cancellation of participation by Hosted Buyers should be communicated to HHTDN in writing within the stipulated timeframe mentioned in the agreement. Depending on the cancellation policy outlined in the agreement, refunds may be provided minus any non-refundable deposits or costs incurred by HHTDN in relation to the hosted buyer’s participation.
b) Exhibitors, Trade Buyers, and Sponsors: Cancellation of participation or sponsorship by Exhibitors, Trade Buyers, and Sponsors should be communicated to HHTDN in writing within the stipulated timeframe mentioned in the invoice or agreement. The cancellation policy will determine the eligibility for refunds, which may be subject to deduction of any non-refundable deposits or costs incurred by HHTDN in relation to the participant’s participation or sponsorship.
4. Decision and Cancellation by HHTDN: HHTDN reserves the right to make decisions regarding participation eligibility, cancellation of participation, or cancellation of the event in its sole discretion. In such cases, HHTDN will communicate the decision and refund policies, if applicable, to the affected participants in a timely manner.

In the event of a dispute, both parties agree to make reasonable efforts to resolve the matter through amicable discussions. If a resolution cannot be reached, the dispute shall be subject to the exclusive jurisdiction of the courts located in Siliguri, West Bengal, India.
By participating in the Himalayan Tourism Mart and making the required payments, participants acknowledge that they have read, understood, and agreed to the terms of this Payment Policy.
